Fair Use Policy

Nirby’s offering is subject to our fair use policy. We expect the usage of most of our users to fall within the range of their selected plan. Our goal is to keep our pricing simple and our limits as permissive as possible. We don’t want you to worry about usage limits and paywalls. When your usage causes pressure on our infrastructure, we will contact you to create a custom plan.

Don’t hesitate to contact us if you need a plan with custom limits.

What do we consider extensive usage?

We want to be completely transparent about when your usage might require a custom plan. Here are the most common scenarios:

Storing large amounts of recordings

More than 40 GB per month of new recordings, or accumulating more than 200 GB in total

Some useful facts:

  • 1 hour of good quality audio takes up about 100-150 MB
  • We only store audio from your meetings (not video)
  • Storage accumulates over time

For example, 40 GB per month equals about 300-400 hours of audio. If your team generates this volume recurrently, you probably need a plan with more capacity.

Using our AI assistant intensively

More than 1.5 million words processed per month, consistently

Our AI copilot does a lot of work behind the scenes:

  • Analyzes everything discussed in the meeting
  • Compares it with your internal knowledge base
  • Generates summaries, insights, and recommendations
  • Creates custom success criteria

For reference:

  • A 1-hour meeting generates about 7,000-10,000 words
  • Our assistant processes those words several times to give you the best analysis
  • This means one meeting can consume the equivalent of 20,000-30,000 words of processing

Extensive usage would be processing more than 100-150 meetings per month with full AI analysis, especially if they’re long meetings (2-3 hours).

Processing many meetings at the same time

More than 8 simultaneous meetings regularly during peak hours

If your team frequently has 8 or more meetings happening at the same time and all need to be processed in parallel, this requires dedicated server resources to ensure everything works fast and smoothly.

Sharing your subscription with other companies

Nirby subscriptions are meant to be used by a single organization. Sharing Nirby functionality with individuals or businesses outside the registered organization is strictly prohibited. This policy ensures the integrity of the service and maintains a consistent user experience. Violation of this policy may result in the suspension or termination of your subscription.

What do we mean by consistently processing high volumes of meetings?

Simply put, it’s about processing a lot of meeting hours month after month. While occasional spikes are okay, if it’s happening for 2-3 months in a row, it suggests ongoing advanced needs. In such cases, we’ll reach out to discuss a tailored plan to ensure everything runs smoothly.

Meeting Duration

Each plan includes a maximum duration limit per meeting, which you can check in our pricing table:

  • Freelance Plan: 60 minutes per meeting
  • Startup Plan: 90 minutes per meeting
  • Business Plan: 120 minutes per meeting
  • Enterprise Plan: Unlimited duration

If a meeting exceeds your plan’s limit, it will be automatically cut off when the maximum time is reached. We recommend splitting very long meetings into shorter sessions or considering upgrading to a higher plan if you regularly need longer meetings.

Additional Meeting Costs

If you exceed your plan’s included meetings, additional meetings are charged as follows:

  • Freelance Plan: Additional meetings are not available; please upgrade to a higher plan
  • Startup Plan: $0.60 per additional meeting
  • Business Plan: $0.55 per additional meeting
  • Enterprise Plan: $0.50 per additional meeting

Storage and Data Retention

All plans include reasonable storage for meeting recordings, transcripts, and analytics data. If your storage needs exceed typical usage patterns, we’ll work with you to find a solution that fits your needs.

Custom Plan

When your usage surpasses our Fair Use Policy, we’ll offer you a custom plan based on your past usage. You’ll receive a quarterly invoice at the beginning of each quarter for this plan. The custom plan is on top of your existing subscription.

If you decide not to continue with Nirby under a custom plan, we’ll provide ample time for you to transition to another solution, ensuring minimal disruption to your workflows.
